Rather than waiting for everything to be perfect, you should view writing as an open process. Just start with what you already know, whether it’s a rough outline, fragments of thoughts, or individual sentences – just get something down on paper.

Consider writing as a tool for thinking: Through writing, you develop your ideas further. What’s important is that you start early, write regularly, and allow yourself to revise texts rather than expecting perfection from the start.

Write precisely and clearly

Avoid long paraphrases if you can express the idea with a technical term. Even if clear language is required, remember: You are writing an academic paper for a specialist audience. Later in your professional practice, you will also write texts intended for experts, such as reports or concepts, which do not need to be understood by every layperson.

However, technical terms should be introduced and defined where necessary, if they are not widely known.

Formulate concisely and simple

Academic texts are working documents that should be easy to read and understand. Therefore, formulate as briefly and clearly as possible, and do not hide your statements behind unnecessarily complicated words and phrases.

Not: The school system, as part of the education system in Germany, is nowadays very diverse and partly also confusing. When you deal with the topic of “full-day school,” it quickly becomes clear that there is no single type of full-day school. In terms of content and organization, as well as regionally in the federal states and municipalities, there are major differences. Therefore, before this topic can be discussed, a definition should first be provided.

The example is awkward, redundant, and imprecisely worded. The phrase “as part of” can be omitted without changing the meaning. What is the difference between “diverse” and “very diverse,” or between “major differences” and “differences”? “When you deal with the topic” is an unnecessary filler. The adjective “regional” and the phrase “in federal states and municipalities” say the same thing. The sentence “Therefore, before this topic can be discussed, a definition should first be provided” is unnecessary because the text has already pointed out the inconsistent use of the term. If the definition follows, the sentence can be omitted.

However, its improvisational component makes it possible to respond individually to each person and their abilities. Therefore, music therapy can meaningfully complement common therapy methods.

Not: Music therapy is one way to approach a person as an individual and give them a stimulus. Of course, not everyone will respond to musical therapy, as everyone has a different relationship with music. However, due to the high proportion of improvisation, it provides an incredibly fascinating way to respond individually to the person and their abilities. Therefore, this form of music therapy is already a method that can very meaningfully supplement common therapy forms and offer hope.

Very personal texts, e.g. in the style of autoethnography, which offer deep insights into one’s own experiences and feelings and may partly confuse or even unsettle readers, would not have been imaginable some time ago in the context of Social Sciences journals.

It depends on the context

It is not only about whether authors use or avoid the word “I”, but also about what and how much they reveal about themselves.

When reconstructing and discussing one’s own field research experiences, it can be particularly important and lead to new insights to describe in personal words what was difficult, required effort, or was experienced as chaotic. And in such cases, it makes more sense to write: “I became nervous and started stuttering when the client pressed further”, instead of “The author of this report showed signs of nervousness and experienced word-finding difficulties when the client asked additional questions.”

The range of academic language

It is important, on the one hand, that students do not freeze in awe before the supposed academic language but form their own impression of the range of Social Sciences texts and the respective linguistic and stylistic means.

There is no single rule for academic language. To avoid being intimidated and disempowered, it helps to read Social Sciences literature yourself rather than relying only on “exam-relevant PowerPoint slides”.

Does the word “I” make my academic work look unprofessional?

Context and purpose are decisive: A self-reflective ethnographic report, in which one engages with one’s own practice or field research experiences and aims to make them transparent, is different from a literature discussion or a research proposal.

How do I find the right academic language for my paper?

There is no single correct academic language, but a dynamic range of possibilities within the field. It is best to consult your lecturers and supervisors to discuss different styles.

Police officers / firefighters …
(instead of: policemen / firemen)

Use plurals

A sentence like “The applicant must write his application in English” implicitly excludes all female applicants, and should be avoided.

One way of avoiding the generic male is to explicitly state both genders:

The applicant must write his/her application in English.

However, this not only excludes anyone who identifies as non-binary, but can be clumsy and make texts unnecessarily long.

An easy solution is to use the plural:

Applicants must write their applications in English.

Easy to understand, inclusive and concise.

A word on pronouns

Male nouns take male pronouns (he/his), female nouns take female pronouns (she/her), and plural nouns take plural pronouns (they/them). Straightforward, right? Not always!

Increasingly, the pronoun “they” is used as a singular pronoun referring to a person of an unspecified gender, for instance “the candidate should attach their CV”. Originally frowned upon in academic language, this is now increasingly accepted in place of he/she or his/her, and can make your writing more concise and gender-sensitive.

If you feel uncomfortable using the word “they” in this context yourself, it can often be avoided by using a plural noun: “Candidates should attach their CVs”.

Another instance where “they” is now commonly used in the singular is as a gender-neutral pronoun to refer to someone who does not identify with a gender-specific pronoun (he or she).

Frequently asked questions

Why is gender-sensitive language important in academic writing?

Academic integrity requires academic language to be as ethical and inclusive as possible. Using gender-sensitive language promotes equality and ensures that all genders are represented and treated fairly. It also helps keep writing clear and precise.

Do I always have to use they/them/their as pronouns?

When writing about specific individuals, use the pronouns they identify with, if you know them. This might include he/him, she/her, they/them, or others. If you are unsure, it is polite to ask.
